Astro AI Marketing LLC ("Company," "we," "us," or "our") operates the AstroAI SaaS platform accessible at https://agency.astroaibots.com. This Privacy Policy explains how we collect, use, disclose, and retain personal information when you use our Platform.

By registering for or using our Platform, you consent to the collection and use of information as described in this Privacy Policy.

2. Data We Collect

We collect the following categories of information:

Account & Identity Information

• Full name and agency/business name
• Email address
• Phone number
• Website URL
• Password (stored as a hashed, non-reversible value)

Technical & Usage Information

• IP address at the time of account registration and each login session
• Browser type, version, and operating system
• Device information
• Login timestamps and session duration
• Feature usage logs (e.g., plan generations, client additions, file uploads)
• Pages visited within the Platform and time spent on each

Client Data You Provide

• Information about your clients that you enter into the Platform (names, emails, business details, ad budgets, goals)
• Files and documents uploaded through the Platform
• Client electronic signatures collected during onboarding

Billing Information

• Subscription plan and billing history
• Payment method type and last 4 digits (provided by Stripe — we do not store full card numbers)
• Billing address (if provided)

3. How We Use Your Data

We use the information we collect for the following purposes:

• To provide and operate the Platform: Creating and managing your account, processing client onboarding, generating AI marketing plans, and delivering Platform features.
• To process payments: Facilitating subscription billing through Stripe and sending payment receipts and invoices.
• To communicate with you: Sending transactional emails (account confirmations, plan delivery notifications, status updates), and support responses.
• To improve the Platform: Analyzing usage patterns to improve features, fix bugs, and develop new capabilities.
• For legal and dispute purposes: Retaining records of account registration, usage, and payment authorization to comply with legal obligations and to defend against disputes, chargebacks, or legal claims.
• To enforce our Terms: Investigating potential violations of our Terms of Service and taking appropriate action.
• For security: Detecting fraud, unauthorized access, and other harmful activity.

4. Stripe Payment Processing

All payment transactions on the Platform are processed by Stripe, Inc. ("Stripe"), a third-party payment processor. When you provide payment information, that information is transmitted directly to and stored by Stripe. Astro AI Marketing LLC does not receive or store your full credit card number, CVV, or other sensitive payment card data.

Stripe's collection and use of your payment information is governed by Stripe's own Privacy Policy, available at stripe.com/privacy. By providing payment information on our Platform, you also consent to Stripe's privacy practices.

We retain records of your subscription plan, billing history, payment amounts, and billing dates for a minimum of 7 years for accounting, legal, and dispute resolution purposes.

5. Cookies and Analytics

Our Platform uses browser session storage and cookies to maintain your login session and remember your preferences. These are essential to Platform functionality and cannot be disabled without disrupting your ability to use the Platform.

We may use analytics tools to collect aggregated, anonymized data about Platform usage, including page views, session counts, and feature usage. This data does not identify you personally and is used solely to improve the Platform.

You can control cookies through your browser settings, but disabling certain cookies may affect your ability to log in or use the Platform.

6. Data Retention

Client data you enter into the Platform (client names, onboarding information, generated marketing plans, uploaded files) is retained for as long as your account remains active and for a minimum of 7 years following account closure.

Electronic signatures and authorization records collected through client onboarding forms are retained indefinitely for legal compliance purposes.

If you request account deletion, we will delete or anonymize your personal account information except where retention is required by law, regulation, or for the defense of legal claims.

7. Your Rights

Subject to applicable law, you have the following rights regarding your personal data:

• Access: You may request a copy of the personal data we hold about you.
• Correction: You may request correction of inaccurate personal data.
• Deletion: You may request deletion of your personal data, subject to our retention obligations described above. We cannot delete data we are legally required to retain.
• Portability: You may request a machine-readable export of your account data.

8. Third-Party Sharing

We do not sell, rent, or trade your personal data to third parties for marketing or commercial purposes.

We may share your information only in the following limited circumstances:

• Service providers: With third-party vendors who assist us in operating the Platform (such as Stripe for payments, Google Firebase for hosting and database services, Anthropic for AI processing, and email service providers). These vendors are contractually obligated to protect your data and use it only for the services they provide to us.
• Legal compliance: When required to do so by law, court order, or governmental authority, or when we believe disclosure is necessary to protect our rights, prevent fraud, or protect the safety of our users or the public.
• Dispute resolution: In connection with any payment dispute, chargeback proceeding, or legal claim involving your account.
• Business transfers: In connection with a merger, acquisition, or sale of all or substantially all of our assets, in which case your data may be transferred to the acquiring entity.

9. Data Security

We implement industry-standard technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. These include encrypted data transmission (HTTPS/TLS), hashed password storage, access controls, and secure cloud infrastructure through Google Firebase.

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

10. Governing Law

This Privacy Policy is governed by the laws of the State of Texas. Any disputes relating to this Privacy Policy shall be resolved in the courts of Comal County, New Braunfels, Texas.

If you are located outside the United States, please note that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.

12. Lead Purchase Data

When you purchase a lead from the AstroAI Lead Pool, we collect and retain the following data for legal protection, dispute defense, and service delivery verification purposes:

• Purchase evidence retained for 7 years. All lead purchase records — including terms acceptance timestamp, acceptance IP address, user agent, price agreed to, payment intent ID, and lead reveal timestamp — are retained for a minimum of 7 years for dispute defense purposes.
• Purchase metadata stored permanently. Metadata about the purchase event (timestamps, IP, price agreement, terms acceptance) is stored permanently in our systems as legal protection for both parties. This metadata documents your informed consent to the purchase and the exact terms under which the transaction occurred.
• Lead contact information. Full lead contact information is revealed only to the purchasing agency. After purchase, the lead is removed from the pool and no other agency can view that lead's contact details.
• Evidence in disputes. In the event of a payment dispute or chargeback, all purchase evidence — including terms shown, scroll confirmation, checkbox acceptance, IP address, user agent, exact price agreed to, payment authorization record, and reveal timestamp — will be submitted in full to Stripe and to your financial institution as evidence of service delivery and informed consent.
• Sharing with payment processors. Purchase metadata may be shared with Stripe, Inc. and other payment processors as part of dispute resolution, fraud prevention, and compliance obligations.

13. Meta (Facebook) Platform Integration

AstroAI integrates with the Meta (Facebook) platform to allow agency clients to connect their Facebook Ad Accounts for the purpose of viewing advertising performance data within the AstroAI client portal. This section describes how we handle data obtained through this integration.

What We Access

When a client connects their Meta account through our platform, we request the following permissions:

• ads_read: To retrieve advertising performance metrics (spend, impressions, clicks, ROAS) for display in the client portal reporting dashboard.
• ads_management: To access ad account and campaign-level data for reporting purposes.
• business_management: To list Business Manager accounts associated with the user, so they can select the correct ad account.
• pages_read_engagement: To list Facebook Pages associated with the user's account for ad account selection.

How We Use Meta Data

Data obtained through the Meta platform integration is used exclusively for the following purpose:

• Displaying advertising performance reports (spend, impressions, clicks, ROAS, campaign breakdowns) within the AstroAI client portal for the authenticated client.

We do not use Meta data for advertising, profiling, resale, or any purpose other than displaying your own advertising performance data back to you.

What We Store

We store the following Meta-related data in our systems (Google Firebase / Firestore):

• A long-lived Meta access token (valid for approximately 60 days) used to retrieve reporting data on your behalf
• Your selected Meta Ad Account ID and name
• Your selected Business Manager ID and name (if applicable)
• The timestamp of when the connection was established
• The connection status (connected, pending, or disconnected)

We do not store raw advertising data, creative content, audience data, or any personal information about your ad audiences from Meta.

Data Sharing

Data obtained from Meta through this integration is never sold, rented, shared with third parties for marketing purposes, or used for any purpose beyond displaying your own performance data within the AstroAI client portal. We do not share this data with other agencies, other clients, advertisers, or data brokers.

Token Expiry and Revocation

Access tokens obtained through the Meta OAuth flow expire approximately every 60 days. You can disconnect your Meta account at any time from within the AstroAI client portal Reporting tab. Upon disconnection, your access token and associated account selection data are deleted from our systems. You may also revoke AstroAI's access to your Meta account at any time through your Facebook account settings at facebook.com/settings → Apps and Websites.

Meta's Privacy Policy

Your use of Meta's login and platform services is also governed by Meta's own Data Policy, available at facebook.com/privacy/policy. By connecting your Meta account to AstroAI, you consent to Meta sharing your ad account data with us as described above.
